Fee, Cancellation & Non-Attendance Policy
Introduction
At Skyview Psychology, our aim is to provide high-quality, accessible, and consistent care. When an appointment or assessment session is booked, that time is reserved exclusively for you. The following policy outlines our fee structures, payment expectations, and cancellation procedures.
1. Fee Structure & Payment Terms
Standard Therapy Consultations: Fees are payable on the day of the consultation. Payments are processed securely via our practice management system using your nominated debit or credit card.
Assessment Packages: Formal psychological assessments (including testing protocols, scoring, collateral data review, and report writing) are billed as a bundled service. A 50% deposit is required prior to commencing testing, with the remaining balance due prior to the release of the final assessment report.
Third-Party & Account Billing: If your sessions or assessments are funded by a third party (e.g., NDIS, WorkCover, or an insurer), valid funding details and written approval must be confirmed prior to your first session. If a third party fails or declines to pay an invoice, the primary account holder remains responsible for the fee.
2. Medicare Rebates
Eligibility: To claim a Medicare rebate under the Better Access scheme, you must have a valid Mental Health Treatment Plan (MHTP) and referral from your General Practitioner (GP) or psychiatrist prior to your appointment.
Cancellation Note: Under Medicare regulations, rebates cannot be claimed for cancelled, missed, or unattended appointments.
3. NDIS Services & Billing
Pricing Limits: Services provided to NDIS participants (Plan-Managed, Self-Managed, or Agency-Managed) are billed in accordance with the current NDIS Pricing Arrangements and Price Limits.
Short-Notice Cancellations: In alignment with NDIS guidelines, if a participant cancels a session with less than the required notice (as outlined in your NDIS Service Agreement) or fails to attend, 100% of the agreed fee for the scheduled service will be charged to the participant’s NDIS budget.
4. Cancellation & Non-Attendance Policy
We understand that unexpected illness, emergencies, or commitments can arise. However, to ensure our clinicians can manage their schedules and offer vacated spots to clients on our waiting list, we strictly enforce a fair cancellation policy.
Notice Period & Fees
Cancellations or requests to reschedule must be made during standard business hours (Monday-Friday) by phone or email:
More than 48 hours’ notice: No cancellation fee applied.
24 to 48 hours’ notice: A cancellation fee of 50% of the consultation fee applies.
Less than 24 hours’ notice or Non-Attendance (No-Show): The full consultation fee (100%) applies.
Exceptions & Telehealth Conversion
Illness / Inability to Travel: If you are unwell or unable to attend in person but feel well enough to participate, your appointment can be converted to a Telehealth (video or phone) session at your scheduled time at no extra charge.
Assessment Appointments: Due to the extended time blocks allocated for formal testing, assessment cancellations with less than 48 hours' notice may incur a re-booking fee before the testing session can be rescheduled.
5. Outstanding Accounts
Further consultations or the release of assessment reports may be paused if there are outstanding fees on your account.
Skyview Psychology reserves the right to refer overdue accounts (exceeding 60 days without an agreed payment plan) to an external collection agency. Any associated administrative or recovery costs will be added to the outstanding balance.
